Software to sell lots: real estate CRM for land subdivisions

Cristhian Proaño · Updated on

A real estate CRM for land subdivisions is the system where your team records every lead, reservation, sale and payment tied to a specific lot. The Royaltor360 CRM is connected to the interactive masterplan: when a sales agent records a sale, the public plan shows the lot as sold without anyone changing it by hand.

Why is a generic CRM not enough to sell lots?

A generic CRM is designed for contacts and opportunities, not for an inventory of lots with code, area, price and status. In a land subdivision what matters is knowing which lot is reserved, for whom, how much has been paid and how much is left. If the inventory lives in a spreadsheet and the leads in another system, someone has to cross-check the information by hand, and that is where errors appear.

Spreadsheet Generic CRM CRM for land subdivisions
Lot inventory with status Yes, but edited by hand Not included Yes, it is the base of the system
Lead tied to a lot Only if written down With custom fields Yes
Several sales agents at the same time Risk of overwriting data Yes Yes, with permissions by role
Payment plans and receipts In another spreadsheet Usually not Yes, in Finance
Availability on the web No No Yes, the plan reads the inventory
Change history Limited Yes Yes, in Activity

How does it prevent two sales agents from selling the same lot?

The status of the lot is one and everyone shares it. When a lead moves to reservation, the lot is reserved for the whole team and for the public plan. The next sales agent who looks for it will see it taken, and the activity log shows who made the change and when.

How does it handle installments and collections?

From Finance you build each client's payment plan: down payment, installments with fixed installment (French) or fixed principal (German), balance and bank loan if applicable. Payments are recorded against the plan, the system numbers the receipts and applies each payment to the oldest installment. The totals and the status of each account are calculated by the server, not the browser, so a client's balance does not depend on who opened it.

For collections there are message templates for each situation: before the due date, on the payment day, late payments and thanks.

Who sees what?

Role What they can do
Administrator The whole project: inventory, sales, finance, team and settings
Office staff Manages the whole project, except deleting administrators
Sales agent Only their own leads and clients; sees the inventory to offer lots
Read only Views the information without changing it, useful for partners

Each project has its data separated from the others, and a daily copy of all the information is saved.

Where do leads come from?

From the interactive masterplan, the 360 tour, the sales pages and the Amaia assistant. Each inquiry enters the CRM with its source and the lot the person was looking at, and is assigned to a sales agent. If the person books a visit with the assistant, the appointment appears in the team's calendar.

How is it implemented?

  1. Demo with your team to review how they sell today.
  2. Upload of the inventory from your spreadsheet and of the project plan.
  3. Creation of users with their role and lead assignment rules.
  4. Upload of existing clients and their payment plans, if you already have sales.
  5. Training for the team so they start recording from day one.

How much does the real estate CRM cost?

It depends on the size of the project, the number of users and whether it comes together with the interactive masterplan and the 360 tour. In the demo we review your case and give you the exact price.

Frequently asked questions

What software works for selling land lots?

One that brings three things together: the plan with each lot's availability, a CRM for leads and reservations, and installment and collections tracking. Royaltor360 combines all three in a single system for land subdivisions: when a sales agent records a sale, the public plan shows the lot as sold without anyone changing it by hand.

What is a real estate CRM for land subdivisions?

It is a system where the sales team records leads, reservations, sales and payments tied to each lot of the project, with the inventory as its base. That way you always know which lot is available, reserved or sold.

Can I upload my lots from Excel?

Yes. During implementation we upload the inventory from your spreadsheet, with the code, area, price and status of each lot.

Does it work on a phone?

Yes. The CRM works in the browser of a phone, tablet or computer, so sales agents can record visits and leads from the site.

Does each sales agent see the others' leads?

No. The sales agent role only sees their own leads and clients. Management and office staff see the whole project.

Does it work for fraccionamientos and lotificaciones outside Ecuador?

Yes. It is designed for any project sold by lots: lotizaciones, lotificaciones, fraccionamientos or parcelaciones, in Ecuador, Peru, Colombia, Mexico or the United States.
